What Software Do Accounts Payable Teams Actually Get Hired to Run?

What Software Do Accounts Payable Teams Actually Get Hired to Run?
Excel shows up in two thirds of accounts payable postings and dedicated AP automation platforms show up in about one in twenty. Before you shop for AP software, look at what the people running it are asked to know.

Two thirds of accounts payable job postings ask for Excel, and only about one in twenty names a dedicated AP automation platform, which should change how you shop for AP software, because the market's marketing says one thing and the people actually hired to run the process say another.

I pulled this from Audit Friendly's job database, which tracks roughly 67,000 live accounting and finance postings right now (cleaned, de-duplicated, linked to employer career pages), and 2,515 of them are accounts payable roles: AP specialists, AP clerks and AP managers. If you want to know what software a finance team really runs, the job description is about the most honest document a company writes, because somebody had to decide what the new hire needs to already know. The numbers are as of September 2026.

What software do accounts payable job postings ask for?

Excel leads by a mile, appearing in 1,655 of the 2,515 postings (66%). After that it's a long tail of ERPs and it's fragmented: SAP in 304 postings (12%), NetSuite in 217 (9%), Oracle in 199 (8%), Sage in 182 (7%), QuickBooks in 146 (6%), Concur in 140 (6%), Workday in 102 (4%) and Microsoft Dynamics in 94 (4%). No single system covers even an eighth of AP roles, which tells you that when a vendor says everybody in AP uses their product, the honest answer from the hiring data is that everybody uses something different and all of them use a spreadsheet on the side.

That fragmentation is useful if you're buying, because it means the safest AP tool is whichever one integrates cleanly with the ledger you already run. Our broader look at which accounting software employers ask for shows the same pattern across all of accounting, and the software directory is where I'd start filtering by the ERP you're on.

How many AP jobs mention automation tools?

Dedicated AP and spend platforms (Bill.com, Tipalti, AvidXchange, Basware, Stampli, Ramp, Brex and Airbase, which is the list I searched for) are named in 119 postings, about 5%, and Coupa appears in 42 more. The word automation shows up in 453 postings (18%), OCR in 54 (about 2%), and AI or machine learning in around 190 (roughly 8%). So automation is a nice-to-have line in a fifth of job descriptions and a named tool in a much smaller slice, which matches what I hear from controllers: they bought the tool, the AP team still lives in the ERP and the inbox, and the automation covers maybe the top third of invoices.

The other signal is three-way matching, mentioned in 280 postings (11%). That's the control that ties the purchase order, the receiving record and the invoice together, and it's the reason AP automation projects stall, because a tool can read an invoice all day but if your POs and receipts aren't clean the match fails anyway. If you're evaluating software, ask every vendor to show you three-way match on your messiest supplier, not their demo data.

Why does AP software choice matter for fraud?

Because AP is where the money leaves. The Association for Financial Professionals' 2026 Payments Fraud and Control Survey, published in April 2026, found that 76% of US organizations experienced attempted or actual payments fraud in 2025, that 58% reported check fraud, that 74% were affected by business email compromise, and that just 17% use AI to fight it. Read those next to our data and the picture is uncomfortable: most AP teams are being targeted while running on spreadsheets and an ERP, with the specialized tooling in about one posting in twenty.

I'm an AI realist about this, so I'll say it plainly: automation doesn't fix a weak vendor-master process, and the honest AI-in-AP wins are on the boring side, like coding invoices, flagging duplicates and catching changed bank details. I wrote about where to start in Accounts Payable Is the Easiest Place to Put AI to Work, and the short version is that the controls come first and the fancy part comes second.

What I'd do

I'd start from the ledger and work outward. Write down which ERP you run, then look at which AP tools are known to plug into it, then test the shortlist on your ugliest ten invoices, not the clean ones. I'd count how many of your invoices arrive by PDF, paper and portal, because the mix decides whether OCR is a big win or a rounding error. And I'd read three job descriptions for AP roles at companies your size, since they'll tell you what skills you can realistically hire for, and a tool nobody in your market knows how to run is going to cost you in training and turnover.

If you're the one running AP, the same data is your career map: Excel is table stakes, an ERP name is the next line on your resume, and a named automation platform is what pulls you out of the pile. You can browse the roles themselves on the Audit Friendly job board, and if you're trying to find the right partner to help you implement, the firms directory is the place to look.

Frequently asked questions

What software do accounts payable teams use most?

Excel, by a wide margin, appearing in about 66% of the 2,515 AP job postings we analyzed, followed by ERPs such as SAP, NetSuite, Oracle, Sage and QuickBooks, none of which appears in more than about 12% of postings.

What is the most common ERP in accounts payable jobs?

In our postings SAP is named most often at about 12%, then NetSuite at 9% and Oracle at 8%, though the market is fragmented and no system dominates.

How many AP jobs mention AP automation platforms?

About 5% name a dedicated AP or spend platform such as Bill.com, Tipalti, AvidXchange, Basware, Stampli, Ramp, Brex or Airbase, and Coupa appears in roughly another 2%.

Is AP fraud a real risk for small finance teams?

Yes. The AFP's 2026 survey found 76% of US organizations experienced attempted or actual payments fraud in 2025, with 74% affected by business email compromise.

Where can I compare accounting and AP software?

The Audit Friendly software directory lets you browse accounting and finance tools, and it pairs well with checking which systems employers in your market actually hire for.

Pull your last twenty vendor invoices, sort them by how they arrived, and you'll know more about your AP software needs than any demo will tell you.
