FreshBooks is a Toronto-built invoicing and time-billing platform for freelancers and service businesses that added double-entry accounting reports, bank reconciliation and manual journal entries on its Plus tier and above, sold as published monthly tiers capped by billable clients rather than by users.
Independently scored, one dimension at a time. Every dimension is sourced, and we say whether a claim is published, reported, or estimated.
Self serve: bank feeds through Plaid or Yodlee import 30 to 365 days of history, Advanced Accounting is a settings toggle, and accountants are invited by email and switch between client businesses in one login. Easy Switch migration and customized onboarding are Select-only, and older history has to come in by CSV (published). The help center's bank reconciliation and petty cash conventions are the one step that needs an accountant's eye.
Every tier, add-on and processing fee is on a public page: 23, 43 and 70 dollars per month, 11 dollar seats, 20 dollar Advanced Payments, payroll at 40 plus 6 dollars per person, cards from 2.9 percent plus 30 cents, ACH 1 percent, instant payout 1.5 percent, and a 30-day money-back guarantee (checked September 5, 2026). Deductions: Select is quote only with unpublished lower rates, the 90 percent promotional headline obscures the real price, and Trustpilot reviewers in July and August 2026 report fee increases on payments.
Email (support@freshbooks.com) and a toll-free phone line are published in the Terms of Service, the help center is thorough, and dedicated phone support is listed as a Select-only perk. Capterra shows 4.5 overall and 4.4 for customer service across 4,524 reviews; Trustpilot shows 3.7 from 1,038 reviews with 18 percent one-star, and the July and August 2026 complaints are payment holds, cancellation friction and fee changes rather than the product. The status page lists 10 incidents in the 12 months to September 5, 2026, one critical (December 8, 2025) and two major (published).
A documented REST API with OAuth 2.0, JWT bearer tokens and one-time-use refresh tokens, scopes down to user:journal_entries:read and write, a reports API for profit and loss, balance sheet, trial balance, general ledger and cash flow, webhooks on invoices, estimates, expenses, payments, clients, projects, time entries, bills and credit notes, a Postman collection and a Node.js SDK (published). Gaps: no webhook for journal entries or accounts, no published rate limit number, a 100-row cap on list calls, and an app store that the vendor counts at 100 plus integrations.
Trial balance (accrual, updated March 2026 for fiscal-year close and retained earnings), general ledger, balance sheet, cash flow, journal entry and audit log reports, all gated to Plus and above, plus a financial lock date. There is no close checklist, every accounting report runs one currency at a time, manual journal entries are listed only from January 15, 2024 onward, and on cash-basis reporting they affect the profit and loss only when they touch a cash account (published). A controller closes in a spreadsheet alongside it.
No first-party MCP server, assistant or agent surface appears on the pricing page, the API documentation or the 2026 release notes, and the press page carries only survey reports about generative AI. Third-party MCP servers exist: bitovi's lists 24 tools and was updated September 3, 2026, OI-OS's Python server has not been updated since November 2025, and StackOne advertises 89 actions (reported). The OAuth 2.0 API is agent-usable but the vendor has not built for it.
Single business per subscription with no consolidation, intercompany or revenue recognition anywhere in the help center or API docs. A financial lock date exists and two-factor login is mandatory under PCI DSS 4.0, but the Audit Log report covers only invoice changes from May 24, 2024 and expense changes from September 11, 2024, and the lock can be switched off at any time by an owner or full-access accountant. Sales tax is a manual rate table and 1099-NEC forms exist only inside the Gusto-powered payroll add-on (published).
Tiers are capped at 5, 50 and unlimited billable clients and every extra user is an 11 dollar a month seat, with two seats bundled only on Select (pricing page, September 5, 2026). One business per account means a second entity is a second subscription with no shared reporting. The API returns at most 100 rows per list call regardless of per_page, which slows any high-volume sync (published).

FreshBooks is best understood as a billing and collections system that grew a small-business ledger, not as a general ledger a controller would build a close around. What you are really buying is the invoicing, estimates, retainers, time tracking and payment collection that freelancers and service firms rate highly (Capterra 4.5 from 4,524 reviews, ease of use 4.5), with double-entry reports, bank reconciliation, a customizable chart of accounts and manual journal entries switched on from the Plus tier at 43 dollars a month.
The catch is where the ledger stops. Every subscription is one business, so there is no consolidation or intercompany accounting; every accounting report runs one currency at a time; the Audit Log covers only invoices and expenses, so journal entries, chart of accounts edits and the financial lock toggle leave no trail; the lock date can be switched off by any owner or full-access accountant at any time; and manual journal entries are listed only from January 15, 2024 onward. Sales tax is a manual rate table, 1099-NEC forms exist only inside the Gusto-powered payroll add-on, and there is no first-party MCP server or AI assistant. The help center also states that as of August 31, 2026 the Accountant Hub is replaced by a referral-based Partner Program, which reads as positioning firms as a channel rather than as operators of the books.
Confirm in writing before signing: the tier (Lite has no accounting reports, no bank reconciliation and no accountant access), the 11 dollar a month seat charge and how many seats Select includes, the card and ACH rates that will apply (2.9 percent plus 30 cents and 1 percent are the published floors, Select negotiates lower), what the 30-day money-back guarantee covers against the non-refundable fees in the Terms of Service, and how a firm-billed subscription is handled after the Accountant Hub retirement. If the business needs a lock that cannot be quietly reopened, an audit trail across the whole ledger, or more than one entity, this is the wrong product and QuickBooks Online, Xero or Zoho Books are the honest comparisons.

Here's what it really costs: published rates where a vendor lists them, aggregated quote data where they don't, plus a path to your own number.
5 billable clients, unlimited invoices, estimates and expenses, bank import, time tracking and tax-time reports. No double-entry accounting reports, bank reconciliation or accountant access.
50 billable clients; adds double-entry accounting reports, bank reconciliation, accountant access, a customizable chart of accounts and journal entries, proposals, retainers, e-signatures and receipt capture. The minimum tier for a firm-reviewed set of books.
Unlimited billable clients; adds accounts payable (bills), bill receipt capture, project profitability and customized email templates.
Unlimited clients, lower card rates and capped ACH fees, Advanced Payments included, 2 Team Member seats, dedicated phone support, Easy Switch migration, customized onboarding and FreshBooks branding removed from client emails (published).
Team Member seats at 11 dollars a month each; Advanced Payments (stored cards, phone and in-person charging) at 20 dollars a month; FreshBooks Payroll powered by Gusto at 40 dollars a month plus 6 dollars per person, US only. Yearly billing takes 10 percent off the tier price.
The pricing matrix marks Double-Entry Accounting Reports, Bank Reconciliation and Accountant Access as unavailable on Lite; the chart of accounts, journal entries and trial balance are Plus, Premium and Select only (published, checked September 5, 2026).
The Audit Log report tracks invoice changes from May 24, 2024 and expense changes from September 11, 2024 only. The financial lock can be unlocked at any time by an owner or Accountant Full Access user, and nothing in the help center describes logging that action (published).
Currency is set per client, invoice or estimate against a base currency, and the Chart of Accounts and Journal Entry report each carry a currency toggle where only one currency can be viewed at a time, so a multi-currency balance sheet is a spreadsheet job (published).
The help center says the Accounting Partner Program and Accountant Hub are replaced by a referral-based FreshBooks Partner Program; accountants now log in through the main page and pick the client business, and firms with clients set to Billed to Firm must update billing or ask support to transfer ownership (published).
FreshBooks Payroll powered by Gusto costs 40 dollars a month plus 6 dollars per person, is US only, cannot pay only 1099 contractors, and cannot handle employees in states where the business is not registered; 1099-NEC forms exist only inside it (published).
Scored on what an outside agent can actually reach: the documented API, how it authenticates, and whether the vendor ships an MCP server.
FreshBooks publishes no MCP server, assistant or agent feature on its pricing page, API documentation or 2026 release notes, and its press page mentions generative AI only in small-business survey reports (checked September 5, 2026). The only AI-flavored component visible is FreshBot, a support bot named in an October 24, 2025 status page incident.
The API itself is agent-usable: OAuth 2.0 with short-lived JWT bearer tokens and one-time-use refresh tokens, granular scopes including user:journal_entries:read and user:journal_entries:write, endpoints for clients, invoices, expenses, bills, payments, projects, time entries, the chart of accounts, journal entries and the accounting reports, and webhooks on most transactional objects (published).
Community MCP servers fill the gap: bitovi/freshbooks-mcp-server (Node.js, 24 tools, mostly read with time-entry writes, updated September 3, 2026), OI-OS/freshbooks-mcp-server (Python, no update since November 20, 2025), and hosted wrappers from StackOne (89 actions), Apideck, Composio and Zapier (reported). None is vendor-supported, so treat them as integration code the buyer owns.
Caveats: no published rate limit number beyond a warning that bursts are throttled, a 100-row cap on list calls, no webhook for journal entries, and payroll data sits in Gusto rather than in FreshBooks.

List prices on September 5, 2026 are 23 dollars (Lite, 5 billable clients), 43 dollars (Plus, 50 clients) and 70 dollars (Premium, unlimited clients) per month, with yearly billing 10 percent lower and Select priced by quote. Each extra user is a Team Member seat at 11 dollars a month, so a 10-person service business on Premium pays about 169 dollars a month before payroll, and FreshBooks Payroll powered by Gusto adds 40 dollars plus 6 dollars per person, or about 269 dollars a month in total. A 100-person company is outside the product's design point: Premium plus 99 seats is about 1,159 dollars a month before payroll, and Select would be the only realistic conversation. Card payments cost from 2.9 percent plus 30 cents and ACH 1 percent on top (published).
Plans are monthly or yearly with no fixed term. The pricing page carries a 30-day money-back guarantee, and after that the Terms of Service make subscription fees non-refundable, require billing disputes within 90 days, and cap any credit at three months of fees (published). Cancellation is done from a web browser under Billing and Upgrade, Select customers must contact support, and the help center says a cancelled account stays accessible until the end of the billing cycle with data preserved for reactivation, while the Terms allow FreshBooks to delete a deactivated account after 30 days, so export first. Exports are CSV for the chart of accounts, clients, expenses, invoices, items and reports, and PDF for documents; there is no single full-ledger export beyond the General Ledger report (published).
Setup is self serve and measured in hours: create the business, set base currency and fiscal year end, connect bank and card accounts through Plaid or Yodlee (which import 30 to 365 days of history depending on the bank), turn on Advanced Accounting to unlock the chart of accounts and journal entries, set an opening balance in bank reconciliation and invite the accountant. Older history comes in by CSV import. Guided migration through Easy Switch and customized onboarding are listed only on the Select plan (published). The step that actually takes time is the accountant deciding whether the default chart of accounts and the petty cash treatment in bank reconciliation fit the business, so budget a review before go-live rather than a project.
Partly, and only through third parties. FreshBooks publishes no MCP server and no AI assistant on its pricing page, API documentation or 2026 release notes (checked September 5, 2026). Its REST API uses OAuth 2.0 with short-lived JWT bearer tokens and one-time-use refresh tokens, and exposes clients, invoices, expenses, bills, payments, time entries, projects, the chart of accounts, journal entries (read and write scopes) and the accounting reports, with webhooks on invoices, expenses, payments and similar objects but not on journal entries. Community MCP servers wrap this API: the bitovi server lists 24 tools, mostly read plus time-entry writes, and StackOne advertises 89 actions (reported). An agent can therefore draft invoices, log expenses, post adjusting entries and pull a trial balance for one business at a time; it cannot run payroll, which lives in Gusto, and the API documents no rate limit number beyond a warning that bursts are throttled.
