SurePrep is Thomson Reuters' 1040 document automation suite for CPA firms: 1040SCAN extracts source documents into the tax software, SPbinder holds the digital workpapers, and TaxCaddy is the client portal for gathering documents and delivering returns.
Independently scored, one dimension at a time. Every dimension is sourced, and we say whether a claim is published, reported, or estimated.
Thomson Reuters said more than 23,000 tax professionals used SurePrep when the deal closed in January 2023, and BDO and Forvis are quoted on the current product pages. Volume is bought as per-return units with no published cap. Limits show at the edges: the 2025 release recap added a quick-load option because binders with many K-1s slowed leadsheets, and the 2026 fee schedule treats daily Outsource submissions above 2 percent of a firm's units as next-day work.
Data export works with CCH Axcess Tax, GoSystem Tax RS, Lacerte and UltraTax CS (SurePrep page, checked 11 October 2026). TaxCaddy adds e-signatures, invoice payments through Stripe, tax payment vouchers and Smart Links to financial institutions. A 2025 integration creates SPbinder binders from SafeSend Gather AI for CCH Axcess and GoSystem firms, and the API pushes status by webhook. An August 2023 SurePrep notice, since taken down, said the ProSystem fx Tax integration would end on 30 November 2023 after CCH sent a non-renewal notice, and CCH Axcess firms pay a per-return vendor API fee.
SurePrep's Whistic security profile lists a SOC 2 Type 2 report dated January 2026 and a bridge letter dated October 2026, both shared under NDA (checked 11 October 2026). SPbinder supports up to four sign-off levels, and the 24 August 2026 release added binder access entries, including SurePrep support users, to an audit log that exports to Excel. No SOC 1 report is named on the profile or the product pages, although the Outsource page cites SSAE 16/18 without naming a report, and SurePrep does not e-file. The Product Specific Terms (version 2.2, 7 August 2025) allow support staff outside the United States to see return data and leave Section 7216 consent to the firm.
Thomson Reuters publishes 2026 support hours: weekdays 7am to 5pm Pacific, extended to 6am to 6pm around the April and October deadlines, with Saturday hours from 7 February to 11 April. Phone, chat and a help center are available, and training is required for new firms. CPA Practice Advisor's 2020 review noted unlimited email, chat and phone support at no extra cost. The SurePrep page says support and the help center were moving into Thomson Reuters systems through 2025.
Coverage is deep for individual returns and thin beyond them. The source document list (checked 9 October 2026) covers W-2s, the 1099 series including 1099-DA, K-1s from Forms 1065, 1120-S and 1041, K-3s, organizer pages and state K-1s for more than 20 states. For UltraTax CS, state K-1s are only indexed and no data is captured. 1041 binder support was still expanding in the June to August 2026 releases, business returns are covered only through the Outsource service, and SurePrep does not e-file.
Onboarding articles on SurePrep's legacy site (December 2022 and January 2023, since taken down) described 5 to 8 meetings depending on the products bought, held one a week, with required self-guided training and a case study, and asked the firm for lead, administrative, preparer, reviewer and IT advocates. No current Thomson Reuters page restates the plan. The IT work is real: SPbinder installs locally and needs Windows 11 and .NET 4.8.1, each tax package needs a tax file activation, and UltraTax CS firms had to redo the integration for tax year 2025.
Thomson Reuters hosts a SurePrep Service Fee Schedules PDF (2026 edition, read 9 October 2026; the May 2025 edition is also still online) with TaxCaddy, 1040SCANverify, Outsource, API and storage fees. Base list prices for 1040SCAN and SPbinder were last posted on a May 2024 sheet that is still online, and the product pages say contact sales. The structure is hard to model: prices vary by purchase month, a vendor API fee applies with CCH Axcess Tax, a CPI clause can raise charges, and unused units expire.
In-product AI is real but narrow. Text-layer matching plus machine learning removes OCR verification for 65 percent of standard documents, the vendor claims, and AI also handles prior-year indexing and K-1 reclass suggestions. The 2026 fee schedule says the AI automation comes only with the ORGANIZE+ and PRO+ tiers. For outside agents there is a documented REST API (version 7) with webhooks. No MCP server appears in the public registry or on GitHub as of 9 October 2026.

You are buying the document layer that sits around your tax software. TaxCaddy collects client documents and delivers the finished return. 1040SCAN bookmarks the documents, reads them with OCR and exports the data into CCH Axcess Tax, GoSystem Tax RS, Lacerte or UltraTax CS. SPbinder is the digital workpaper binder, with tick marks, cross-references and up to four sign-off levels. Two services sit on top: 1040SCANverify, where SurePrep staff check the OCR data, and Outsource, where SurePrep staff prepare the return. The company dates to 2002. Thomson Reuters bought it for $500 million in January 2023, and BDO and Forvis are quoted on the current product pages.
The catch is cost structure and direction. Each piece is priced per return, so a firm running TaxCaddy Gather, TaxCaddy Deliver and 1040SCAN PRO pays three unit fees on the same client, plus a vendor API fee if it uses CCH Axcess Tax. Units expire with the tax year. Data export works with four tax packages only, and CCH ProSystem fx Tax is not among them: an August 2023 notice on SurePrep's legacy site, since taken down, set the end of that integration at 30 November 2023. SPbinder is still a locally installed Windows application. Thomson Reuters is putting its agentic 1040 work into a separate product, Ready to Review, built on CoCounsel. There is no MCP server.
Before signing, get the unit price for every tier and every tax year of the term. The public list sheet is from May 2024, and the price depends on the month you buy. Confirm the vendor API fee, the CPI escalator, storage fees after the first year and what happens to unused units. Ask in writing whether returns will be processed offshore, who handles Section 7216 consent, and what the roadmap is for 1040SCAN next to Ready to Review and Additive.
Jobs, mapped to how finance teams actually buy.
1040SCAN PRO bookmarks W-2s, 1099s, K-1s and brokerage statements into an index that follows the return, reads them with OCR and exports the data to the tax software. The vendor claims text-layer matching and AI remove verification for 65 percent of standard documents. Test that on scanned PDFs as well as native ones before relying on it.
With 1040SCANverify, SurePrep staff check the captured data before it reaches the tax software, onshore or offshore. Pages that auto-verify are billed at a lower rate. One practitioner on the Intuit Accountants Community wrote in October 2024 that the verify service is about 95 percent accurate (reported), so a firm review step still applies.
TaxCaddy builds a document request list for each client from prior-year data in the tax software, then tracks what is still outstanding. Clients upload by phone camera or connect financial institutions through Smart Links. The firm delivers the return, e-signature requests, payment vouchers and its invoice through the same app.
SPbinder gives preparers and reviewers one binder with tick marks, annotations, notes and hyperlinked cross-references across PDF, Excel, Word and email workpapers. Leadsheets pull final amounts into one place with change tracking and variance detection. The June 2026 release added a browser Review Module with a two-year comparison for GoSystem Tax RS and CCH Axcess Tax binders.
The Outsource service has SurePrep staff prepare 1040 and 1041 returns onshore or offshore, and 990, 1065, 1120 and 1120-S returns offshore. The fee schedule caps pre-April 15 volume at two thirds of purchased units and treats daily submissions above 2 percent of units as next-day work. Plan the calendar before counting on it for the last week of the season.
The REST API lets a practice system create a binder, upload documents, submit it and listen for status webhooks, and it can create TaxCaddy clients and document request lists. A firm administrator enables it in FileRoom. The 2025 release recap says API coverage for 1040SCAN PRO and ORGANIZE is limited to 1040 binders, with 1041 support added in stages during 2026.

Here's what it really costs: published rates where a vendor lists them, aggregated quote data where they don't, plus a path to your own number.
Bookmarks and organizes source documents into a workpaper index; no data extraction, so it works with any tax software. $7.80 if bought in May 2024.
ORGANIZE plus the AI and machine learning automation, such as prior-year indexing, that the fee schedule limits to the plus tiers.
Scan-and-populate: OCR extraction and export to CCH Axcess Tax, GoSystem Tax RS, Lacerte or UltraTax CS. $24.00 if bought in May 2024.
PRO plus AI and machine learning automation, including auto-verification for scanned PDFs.
SurePrep staff outside the United States verify the OCR data. The May 2025 schedule listed a $45.00 base and $0.36 per standard page and per field. The May 2024 sheet estimated $77.50 per return; actual fees follow page and field counts.
Verification by staff in the United States, with fields at $0.72 each. The May 2025 schedule listed a $50.00 base and $0.72 per standard page and per field. The May 2024 sheet estimated $115.00 per return.
Digital workpaper binder with tick marks, annotations, cross-references and sign-offs, bought on its own.
SPbinder leadsheets that gather final amounts for a materiality-based review, with change tracking and variance detection.
Charged when the firm creates or sends a document request list, sends a questionnaire, adds Smart Links or uploads documents for a client. The May 2025 schedule listed $15.00.
Charged when the firm delivers a return or tax payment, uploads an invoice or sends documents for signature with identity questions. The May 2025 schedule listed $15.00.
SurePrep staff prepare the return. Processing levels 2 to 4 add $37.00 to $176.00 and pages are $1.08 each. The May 2025 schedule listed a $115.00 base, $36.00 to $172.00 for levels and $1.05 a page; the 2024 sheet estimated $370 per return.
Preparation by staff in the United States. Levels 2 to 4 add $74.00 to $352.00 and pages are $2.15 each. The May 2025 schedule listed a $230.00 base, $72.00 to $344.00 for levels and $2.10 a page; the 2024 sheet estimated $825 per return.
The 2026 fee schedule states that units bought for one tax year do not roll forward, even if they were never processed. It gives the example of 100 returns purchased and 80 processed, with the 20 left over lost. The rule is repeated for 1040SCAN, SPbinder, Leadsheets and TaxCaddy. Software is available only for the current and prior tax year. Size the order conservatively and ask what top-up units cost in season (fee schedule, checked 9 October 2026).
SurePrep's May 2024 price sheet lists a different price for each purchase month: 1040SCAN PRO at $24.00 in May, $28.00 in June, $32.00 in July, $36.00 in August and September, and the $40.00 list price from October. List prices also rose between the May 2023 and May 2024 sheets, by 4 to 14 percent depending on the product (Audit Friendly calculation). The fee schedule adds a CPI clause that can lift charges on each anniversary. No 2026 list for 1040SCAN is public, so get the grid in the order form.
The fee schedule charges a vendor API fee on every return used with CCH Axcess Tax. The 2026 edition, as read on 9 October 2026, lists $0.37 for ORGANIZE, SPbinder and TaxCaddy, $1.45 for PRO and Leadsheets, and $4.35 for verify; the May 2025 edition listed $0.36, $1.40 and $4.25. SurePrep can adjust it once every 12 months, with a 14-day window to opt out. Separately, an August 2023 notice on SurePrep's legacy site, since taken down, said CCH had served a non-renewal notice and that integration with CCH ProSystem fx Tax would end on 30 November 2023. The current product page lists four packages: CCH Axcess Tax, GoSystem Tax RS, Lacerte and UltraTax CS.
The SurePrep Product Specific Terms (version 2.2, last modified 7 August 2025) say tax return information may be used by Thomson Reuters, its affiliates or subcontractors inside or outside the United States for up to seven years after the tax year, and that support staff outside the United States may see it. Thomson Reuters may also create derivative information from customer data, including de-identified and aggregated data, to train machine learning models. The firm is responsible for Section 7216 consents. Offshore verify and Outsource send identifiable data abroad by design.
Under the Product Specific Terms, the firm owns its data but must copy it before the term ends. It can request a copy within 60 days of termination and pays reasonable formatting and delivery fees; after that the data is destroyed under the retention schedule. During the contract, SPbinder binders are stored through the calendar year after submission and then cost $1.00 per return per extra year. TaxCaddy prior years cost $100 per 100 GB to keep sponsored, or the firm loses access to them (2026 fee schedule).
The 1040SCAN Review Wizard desktop application was retired on 31 August 2026; all verification now runs in Review Wizard on Web. API version 5 stops working after 31 October 2026, a date already pushed back from 31 August, and version 7 changes authentication to a client ID and secret. For tax year 2025, UltraTax CS firms also had to complete a new mandatory integration, and firms on SurePrep single sign-on had to move to Thomson Reuters single sign-on. Budget IT time each summer for changes like these.
Scored on what an outside agent can actually reach: the documented API, how it authenticates, and whether the vendor ships an MCP server.
Exists: No MCP server. The public MCP registry returns nothing for SurePrep, TaxCaddy or Thomson Reuters, and a GitHub search finds no first-party or community SurePrep MCP project (checked 9 October 2026). What does exist is a REST API at api.sureprep.com, now on version 7, documented on the Thomson Reuters Developer Portal since the SurePrep developer portal was retired on 30 April 2026.
Scope: The API reads and writes binder and TaxCaddy objects. Help-center use cases list calls to create a binder, upload documents, submit it for processing, change status or owner, and pull status, pending review items, the binder audit log and documents. TaxCaddy calls create clients, build and send document request lists and download client uploads. Webhooks report status changes and uploads. The API does not reach OCR verification, workpaper sign-off or data entry in the tax software.
Turnkey: No. A firm system administrator has to enable API access in FileRoom and create an application to get a client ID and secret, and SurePrep Support has to switch on the TaxCaddy calls. Version 5 is retired on 31 October 2026, so older integrations must move to version 7. The help articles read for this review describe no sandbox and no rate limits.
In the product, the AI is document work. 1040SCAN pairs OCR with text-layer matching and machine learning, and the vendor claims this removes verification for 65 percent of standard documents. SPbinder uses AI to suggest K-1 reclass categories and to index non-standard documents the way they were indexed last year. The July 2026 release added status notices for K-1 pages sent to Additive, the K-1 extraction company Thomson Reuters acquired on 16 September 2025. Drafting the return itself is a separate product, Ready to Review, announced on 5 November 2025 for simple 1040s.
The August release extended 1041 binder support, logged every binder access (including SurePrep support users) in an audit log that exports to Excel, and split Delete Binder into its own permission.
1040SCAN began capturing Form 1099-DA on the IRS standard template, SPbinder shows when K-1 pages are processing in Additive, and prior-year return PDF extraction opened for tax year 2025.
SurePrep extended the version 5 cutoff from 31 August to 31 October 2026 for extension season. Version 7 swaps username, password and API key for a client ID and secret.
From 1 September 2026 all 1040SCAN verification runs in Review Wizard on Web, which needs no install and works on Windows, Mac and Linux browsers.
The 2026 edition, as read on 9 October 2026, lists TaxCaddy Gather and Deliver at $15.50 per return, up from $15.00 in May 2025, and the 1040SCANverify offshore base charge at $46.00, up from $45.00. The date shown is the file's creation date.
The separate CoCounsel-based product drafts simple 1040s from source documents and prior-year returns. The release said general availability in the United States would follow in December 2025.
SurePrep charges per return, and the pieces add up. The latest public list sheet (May 2024) prices 1040SCAN ORGANIZE at $13.00 and 1040SCAN PRO at $40.00 per return. Thomson Reuters' 2026 fee schedule, as read on 9 October 2026, prices TaxCaddy Gather and TaxCaddy Deliver at $15.50 each per return; the May 2025 edition listed $15.00.
Audit Friendly estimate: a firm running 1,000 individual returns through 1040SCAN PRO would spend about $40,000 at the 2024 list price, or about $24,000 at the May early-purchase price. Adding TaxCaddy Gather and Deliver for the same 1,000 clients adds about $31,000 at the 2026 rates read on 9 October 2026, or $30,000 at May 2025 rates. A CCH Axcess Tax firm also pays a vendor API fee of about $1.45 per PRO return ($1.40 in May 2025).
Having SurePrep staff verify the OCR data costs more: the 2024 sheet estimated $77.50 per return offshore and $115.00 onshore, and actual charges follow page and field counts. Ask for current unit prices, since no 2026 list for 1040SCAN is public, and ask about the discount of up to 30 percent advertised on a sales page that was still live on 9 October 2026.
Orders run on a Thomson Reuters ordering document plus the SurePrep Product Specific Terms (version 2.2, last modified 7 August 2025). Units are tied to a tax year and do not roll forward. The fee schedule lets SurePrep adjust the vendor API fee once every 12 months with a 14-day opt-out, and a CPI clause can raise charges on each anniversary. Outsource fees can rise by up to 15 percent a year.
On exit, the firm owns its data but must copy it out before access ends. It can request a copy within 60 days of termination and pays reasonable fees for formatting and delivery. After that, Thomson Reuters destroys the data under its retention schedule.
Storage has its own clock. SPbinder binders are kept through the calendar year after submission, then cost $1.00 per return for each extra year. TaxCaddy prior years cost $100 per 100 GB to keep sponsored. If the firm stops paying, the taxpayer can pay SurePrep directly and the firm loses access to that year's documents.
SurePrep runs onboarding itself. Onboarding articles on its legacy site, dated January 2023 and since taken down, described 5 meetings for 1040SCAN alone and up to 8 for 1040SCAN with TaxCaddy and Leadsheets, normally one a week, so plan on 5 to 8 weeks (Audit Friendly estimate). Training is required for every firm and combines self-guided courses, now in the Thomson Reuters Tax and Accounting Professionals Learning Center, with a case study.
The firm names a lead advocate plus administrative, preparer, reviewer and IT advocates. IT installs SPbinder on Windows 11 machines, activates each tax package in FileRoom and, for Lacerte, keeps the SDK drivers current. Start before the season: the published tax season checklist assumes installation, firm defaults and user permissions are finished before 1040 work begins.
These onboarding articles predate the move of SurePrep support into Thomson Reuters systems during 2025, so confirm the current plan with the account team.
Only through custom code. SurePrep has no MCP server: none is listed in the public MCP registry and none was found on GitHub on 9 October 2026.
It does have a REST API, now on version 7. A developer can wrap it so that an agent creates binders, uploads source documents, submits them, reads status and pending review items, and builds or sends TaxCaddy document request lists. Webhooks report status changes and client uploads.
A firm administrator has to enable API access, and SurePrep Support has to enable the TaxCaddy calls. The API does not cover OCR verification, workpaper sign-off or anything inside the tax software. Version 5 integrations stop working after 31 October 2026.
